Here at Swantide, we are always looking to innovate and provide deeper value to our customers. One of our more recent product developments was Workflow Templates. A way to customize and effectively document new workflows and existing workflows in your Salesforce instance. Here are a few Workflow templates we wanted to highlight.

Update Pick-List Value on Stage Change

When would you use this Workflow Template?: This template comes into play when you need to automate pick-list field changes based off of an Opportunity Stage Change.

Available Objects include:

Update Opportunity Pick-List Field on Stage Change: Template to update fields on the same Opportunity

Update Account Pick-List Field on Stage Change: Template to update fields on the associated Account

How it Works:

Choose the Opportunity Stage that you'd like to trigger the automation.

Choose the Pick-list field and value that you'd like to update.

The Workflow will automatically set this value for each Opportunity that reaches the specified Stage.

So what are the use cases?:

Updating a progress status when an opportunity reaches a stage.

Updating a meeting held pick-list when an opportunity reaches a meeting held stage.

Updating Account type to be customer. (Yay!)


Next up, we have Lock Down Opportunity Fields by Profile

Essentially, this makes certain fields uneditable by specific profiles.

Use case:

  • Sometimes there are fields you may only want managers touching, so lock them down to avoid any confusion or editing by reps. 

This one is simple and fairly self-explanatory but comes in handy if you want to limit access to certain constant fields within your sales process. 


Finally we want to highlight: Require Fields by Opportunity Stage

You would deploy this template for each of your Stages that you'd like to require fields in, for reps to fill out as they work their Opportunities.

Note: For each Stage that you'd like to make requirements, create a separate template to define which fields should be required.

Bonus! You can Require Fields by Opportunity Stage (Excluding a Profile) as well.

This template differs from the standard Require Fields by Opportunity Stage in that this Workflow will exclude a particular Profile from the requirements, for example, a System Admin.

*Use this option if you have certain profiles who should not be required to fill out the fields defined.
